DISCIPLINE AND CODE OF CONDUCT DELHI OFFICE

 

In any social system, irrespective of its nature, it is important to determine a set of rules that shall regulate the conduct of its members and should be observed in order to function successfully.

Similarly, it is important at the workplace to determine a set of rules to regulate the relationship between the employees and the employer in the form of a disciplinary procedure. The disciplinary procedure is regarded as a guideline and its interpretation is adequately flexible in order to adjust to various circumstances.

The Company follows its own Disciplinary Rules and Code of Conduct and no one is allowed to abuse the system while being on duty. If any employee is found violating the system, then he/she shall be subjected to DISCIPLINARY ACTION. It is expected that each employee takes

cognizance of the following rules relating to acts and omissions:

1. Office time of the organization starts as per timings mentioned below with one Lunch Break. Each Employee is allowed a WEEKLY OFF. Management expects everyone to be punctual. If in any case, one is not able to maintain the punctuality they must inform to the reporting authority. Absence without information shall be considered as a MAJOR MISCONDUCT as it affects the functioning of the organization adversely.

In office at Delhi, Lunch Break timings shall be as follows:
01.30 p.m. to 02.00 p.m. ---- Departments of Export, Domestic and HR.
02.00 p.m. to 02.30 p.m. ---- All other departments


2. The Company may or may not have a separate policy on FLEXI TIME working which needs to be adhered to scrupulously by all employees. In view thereof habitual late attendance and habitual absence without leave or without sufficient cause need be avoided.

3. Each employee has to give work output of 8 (eight) hours in a day. Late coming and late sitting is unwarranted therefore. Employees need to be punctual.

4. Lunch during the lunch hours should be taken in the pantry alone, wherever provided. Eating at WORK STATIONS is unwelcome and is not permitted.

5. Dress code has to be followed by all employees. Male Employees should be in formal shirts and trousers. Casual dressing may be opted for only on Saturdays. Similarly female employees should be properly attired.

6. Management shall take strict actions against those employees who are engaged in playing computer games, playing music, chatting, singing etc., or any other similar/ such unproductive activities during office hours.

7. Employees can receive their personal calls but it should not disturb others who are present in the organization. Misuse of the facility provided or wasting time on it shall not be tolerated as the facility is only meant for official work. Employees are not allowed to waste productive time on personal phone calls for longer duration.

8. No employee shall use OFFICIAL telephone/ fax facility for personal use except with the permission from Immediate Superior/ Reporting Authority/ Management. In case of emergency alone, use for personal work may be permitted.

9. Employees shall keep their cell/ mobile phones on VIBRATION/SILENT mode while on DUTY.

10. Friends/ relatives are allowed to visit the office but it should not disturb other employees. Their visits should not be of long durations.

11. Management will not tolerate any employee found consuming PAAN MASAALA, GUTKHA, SMOKING CIGARETTES or SPITTING in the Office Premises and its vicinity, or indulging in such/ similar activities.

12. An employee coming late to work or found absent from his work place during his/ her working hours without any reasonable cause/ sufficient reason or without getting any prior permission/ authorization from his/ her immediate superior, shall be liable to suitable appropriate disciplinary action through the Competent Authority in the Company.

13. In case of employees using Computers/ Laptops etc. provided by the Company, the password provided by the IT department of the Company alone is required to be used. If any other password is being used, it should necessarily be shared with the IT department.

14. Negligence in work by any employee shall not be tolerated by the management. If so found, Employee shall be liable for disciplinary action.

15. Every employee is required to make an entry in the OFFICIAL RECORD BOOK if they are taking any official property like book/ magazine/ laptop/ pen drive etc. to their respective residence. In case of any damage or loss, the employee shall be held liable and would also be required to make good the loss apart from being subjected to appropriate action against him.

16. No employee shall share any official information about the company with any person who so ever (unless any competent court of law has summoned for the same) except in the interest of the company or with the written permission of the management.

17. Organizational conflicts, if any, should be resolved within the organizational process and procedure. The issue under conflict should not be discussed with the organizations/ media- newsprint or electronic, without having first obtained the approval of the management.

18. Theft, fraud or dishonesty in connection with the employer’s business or property is intolerable.

19. Taking or giving bribes or an illegal gratification what so ever in connection with the employer’s business or in his own interests.

20. Willful insubordination or disobedience, whether along or in conjunction with another or others, or of any lawful or reasonable order of a superior.

21. Drunkenness, fighting or riotous, disorderly or indecent behavior while on duty at the place of work.

22. Causing willful damage to work in progress or to property of the employer.

23. Sleeping on duty.

24. Malingering or slowing down work.

25. Acceptance of gifts from subordinate employees.

26. Failure or refusal to wear or use any protective equipment given by the employer.

27. Failure to accept any written communication intended to be served by the management.

28. Inciting others to violence at the work place.

29. Threatening, abusing or assaulting any superior or co-worker.

30. Habitual money lending at the work place and its vicinity.

31. Going on illegal strike either singly or with other workers/ employees without giving notice as mandated under the law.

32. Giving false information relating to personal particulars at the time of employment.

33. Abetment of or an attempt at abetment of any of the above acts or omissions.

34. Sexual harassment at Work Place, whether directly or by implication.

Each employee should carry out the instructions given to them by the management and superiors in connection with the organization objectives diligently, efficiently and faithfully.
 

 

POLICY GOVERNANCE:
 

Any matter not specifically covered under the above guidelines shall be referred to the Human Resources Department for necessary advice. The interpretation of this policy rests exclusively with the Company. Any policy deviation/exception has to be approved by Director. The decision of the Company shall be final and binding. The Company reserves the right to continue/modify/suspend this policy at any point in time.
